The Part Time AP Clerk is a key position, responsible for supporting VS&C’s accounting operations by coordinating and executing in a fast-paced and dynamic work environment. The AP Clerk owns the Accounts Payable function ensuring payments are made timely. This Team Member handles important tasks, such as entering vendor invoices, preparing vendor payments, reconciling subsidiary ledgers, and maintaining proper documentation. The hours can be flexible but intended to take place during regular Business Hours M-F, 8am-5pm.
ESSENTIAL FUNCTIONS:
- Review all invoices for appropriate documentation and approval prior to vouching and payment.
- Process 3-way P.O. matching invoices.
- Match invoices to checks, submit ACH run for approvals, obtain signature for checks and distribute checks accordingly.
- Responsible for annual 1099 maintenance and distribution.
- Respond to all vendor inquiries, reconcile vendor statements, and research and correct discrepancies.
- Process employee travel expenses.
- Reconcile and vouch company credit cards (AMEX).
· Maintain AP files and documentation thoroughly and accurately, in accordance with company policy and generally accepted accounting practices.
- Assist with month-end closing process, including AP subsidiary account reconciliations.
- Maintain and update corporate credit policies and procedures and company payment terms; process credit applications for new vendors
- Maintain payable files in an organized and timely manner.
- Special projects as required.
Job Requirements:
§ Bachelor’s Degree in finance or accounting or equivalent experience in accounting/bookkeeping
§ Working knowledge of generally accepted accounting practices
§ Proficiency with Microsoft Office Products, especially Excel
§ Ability to work under pressure and meet deadlines
§ Attention to detail
